Inventory & lot tracing FAQ
Raw materials, production runs, and recalls. Also see the Labels FAQ and Recipes FAQ.
What does the inventory module track?
Raw materials (with lot codes, expiry, reorder points and costs), finished goods, suppliers/receivers/transporters, production runs, and an immutable transaction ledger every movement is written to. The setup checklist walks you from empty to fully traceable.
Why do lot codes matter?
They're the thread a recall follows. Enter the supplier's lot code when you receive stock, and every batch you produce from it stays connected; when a supplier calls about a bad lot, you know exactly which of your products are in scope, in seconds.
How do production runs work?
Create a run for a product, then Batch log & close when you make it: record which raw-material lots you consumed and the finished-good lot you produced. Inventory adjusts automatically on both sides, through the ledger.
What is FEFO and why is it on by default?
First-Expired, First-Out. When you log a run, the lot field pre-fills with the lot that expires soonest (falling back to oldest-received when no expiry is recorded), and the dashboard warns about lots expiring within 30 days. Less waste, fewer expired ingredients in production. Most tools only do FIFO.
What happens in a recall?
Enter the lot code in the Recall tab. You get the full chain in both directions (which runs used it, which finished-good lots came out), plus a one-click recall report PDF with every movement, the affected lots, and a sign-off block for the auditor.
Can I print a batch label when I finish a run?
Yes, if the product is linked to a recipe, closing the run offers a print-ready page with the product's actual nutrition label plus the batch stamp (LOT · production date · quantity). One workflow from recipe to labeled pallet.
How do I record purchases that have not arrived yet?
+ New Order tracks quantity on order per material; when the delivery arrives, + Add to Inventory receives it with its lot code and expiry. Reorder points flag materials running low.
Do my recipes and inventory stay in sync?
Yes, one click imports your recipes' ingredients as raw materials, and each saved recipe can become a finished product. Same account, same data, no re-typing.
Is inventory data stored on my device?
No, everything is saved to your account in the cloud, scoped to you by row-level security. Any device, always current.
